Holiday travel · A practical handoff guide
Pet medication handoff before a holiday trip
Before a holiday trip, leave one current care plan, verified contacts, and a shared place to record each action. Walk through the plan with your sitter, agree exactly when their responsibility starts, and decide how you will take over when you return.
The suitcase may be ready before you feel ready to leave your pet. A useful handoff makes the next step clear to the person staying behind—even while you are on a flight or your return is delayed.

A holiday handoff has three moments
- 01 · BEFORERehearse together
Locate instructions, supplies and contacts. Confirm who takes the first shift.
- 02 · WHILE AWAYKeep one record
Record actions where both people know to look. Make changes explicit.
- 03 · BACK HOMEConfirm the handback
Review the last entry and agree who handles the next scheduled task.
An editorial planning diagram, usable with paper or a shared digital log.
Example: a long weekend with a sitter
Fictional planning example—not a medication schedule. Maya is travelling December 23–27. Jules will look after her cat, Olive. This shows how to fill in the practical parts of a handoff; copy your own pet’s current veterinary instructions separately.
OLIVE · HOLIDAY CARE PLAN · DEMO
One plan, one agreed handoff
- Care window
- December 23 at 3:00 PM to December 27 at 6:00 PM, in New York time, where Olive stays.
- Who takes over?
- Jules confirms responsibility at the 3:00 PM handoff. Maya and Jules check the last recorded action together before Maya leaves.
- Current instructions
- The dated veterinary instruction sheet is in Olive’s blue folder. The plan lists where each labelled medication is stored; storage follows its existing instructions.
- Where to record
- The shared log is the main record. A paper backup is inside the blue folder; if used, Jules tells Maya so they can reconcile it rather than assume a blank digital entry means nothing happened.
- Owner availability
- Maya expects to be unreachable during travel on December 23, 4:00–9:00 PM in Olive’s home time zone.
- Backup person
- Ren is the agreed local backup. Jules and Ren exchange a test message before departure.
- Contact card
- Maya and Ren’s verified numbers, the regular vet and the emergency clinic’s phone and address are stored with the folder. This public demo intentionally omits usable numbers; a real handoff needs them filled in and checked.
- If the return changes
- Maya asks Jules or Ren to cover the extra period and gets a clear acceptance. A delayed flight does not silently extend someone’s agreed shift.
- Back home
- Maya confirms she is home, reviews the last entry with Jules and explicitly takes responsibility for the next task on the existing schedule.

Check what changes over the holidays
Verify your regular clinic’s holiday hours and the emergency clinic’s contact details directly. Confirm that your backup person will actually be nearby and available during the travel gaps shown in your plan.
Ask the clinic how to record who may make decisions while you cannot be reached. ASPCA’s pet sitter preparation guide covers these contact and planning basics.
Date the care instructions. If they change before departure, replace the old copy and tell the sitter which version to use.
Questions to ask your veterinarian before leaving
Bring these questions to your own clinic and write down the answers for the sitter. This article does not supply treatment instructions.
- What should the sitter do if a scheduled medication is missed, refused or uncertain?
- Which changes should prompt a call to you or an emergency clinic, and who should they contact outside holiday hours?
- Are the written storage and administration instructions complete and clear for this sitter?
- Will the available supply cover the planned trip, and how should we arrange a refill or a travel delay?
- What authorization or information does the clinic need if the sitter brings my pet in while I am unreachable?
Rehearse the handoff before departure
- Ask the sitter to find the information. Have them locate the pet’s instructions, next scheduled task and last recorded action without you pointing to each item.
- Practise finding the log. Open the paper sheet or browser link on the device they will actually use. Do not create a test mark against a real dose. Use clearly separate demo data if practising a recording action.
- Check the fallback. Agree how they will contact you or the backup person if they cannot open or save the log.
- Say the handoff aloud. Confirm who is responsible from now on and how to reach the next person. Repeat that exchange when you return.
If you use DoseHandoff while away
A sitter can open a temporary browser link without installing the app or creating an account. Follow the sitter-link guide to create and check it before departure.
Check that the link covers the whole visit, including any agreed extra time. Today only does not cover a multi-day trip. The sitter-link guide explains expiry, plans and time zones.
A log records someone’s entry; it does not independently verify administration. If an entry is missing or unclear, contact the person responsible and follow the veterinarian’s instructions rather than guessing what happened.
Before you close the suitcase
- The sitter has the current instructions and knows where supplies are.
- Contacts, holiday arrangements and the backup person have been checked.
- The sitter can find the shared record and knows the fallback.
- The first shift, travel gaps and return handoff are agreed.
